Development Associate, Seattle Audubon Society

Organization Summary:
The mission of Seattle Audubon is to cultivate and lead a community that values and protects birds and the natural environment. We provide conservation leadership, environmental education for all ages, and opportunities for members and the public to enjoy and learn about birds and nature. Founded in 1916, Seattle Audubon has an array of diverse programming, 5,500 member households, a staff of 16, over 450 volunteers, and an active Board of Directors.

Position Summary:
Under general supervision, provide operational support for ongoing development and membership activities of Seattle Audubon. Manage donor and membership database. In coordination with the Director of Membership and Development as well as the Development Committee, assist with all aspects of planning, development, implementation, and evaluation of the organization’s fundraising programs.

Duties and Responsibilities:
1. Manage database system to support all aspects of donor tracking and membership, including:

  • running data sorts and inquiries;
  • exporting data to generate mail merge documents and produce mailing labels using Word and Excel;
  • supervising volunteer data entry of memberships and contributions;
  • tracking corporate/foundation grant prospects, submissions, awards, and reporting requirements, and contributing content for grant proposals;
  • maintaining integrity of Seattle Audubon database files and records used to track contributions and membership contact information; and
  • tracking and following up on all solicitations and gifts received, evaluate the effectiveness of fundraising initiatives, and ensure gifts and memberships are acknowledged in a timely manner.

2. Assist with the identification, cultivation, and stewardship of the organization’s major donors, including one-on-one relationships with individuals and creation of special events to connect donors to Seattle Audubon’s mission.

3. Maintain paper filing system for all foundations, major donors, corporate gifts, and individual members/donors.

4. Assist with the planning and implementation of fundraising events, which include Birdathon, Annual Dinner, Membership Meetings, and donor stewarding events. Organize and maintain systems for tracking event RSVPs and distribution of incentive prizes.

5. Prepare written communications with members, including newsletter articles, appeal letters, acknowledgement letters, renewal notices, and special event invitations. Manage regular volunteer mailing parties and process bulk mail.

6. Provide day-to-day technical and/or professional guidance, as appropriate, to staff and volunteers regarding database management.

7. Gather data, analyze information, and prepare reports.

8. Prepare materials for Development Committee meetings.

9. Coordinate with retail and bookkeeping staff to facilitate financial reconciliation of contributions.

10. Perform additional duties as assigned.

Required Qualifications and Skills:

  • Direct non-profit development and membership experience (Bachelor’s degree or equivalent professional experience).
  • Knowledge of and commitment to environmental protection and the mission of Seattle Audubon.
  • Excellent organizational skills, strong interpersonal skills, ability to communicate effectively both with volunteers and with program staff, work in a team as well as independently.
  • Attention to detail, and demonstrated ability to multitask, prioritize deadlines, take initiative, and maintain confidentiality.
  • Proven experience in donor database management and computer proficiency in Microsoft Office, Adobe Creative Suite, and excellent writing and editing skills.
  • Experience with database conversion a plus. The position requires occasional evening and weekend work.
