Office Manager, People for Puget Sound

The Office Manager is a full-time position responsible for keeping the organization running smoothly by overseeing all office systems, including our donor database. The Office Manager is located in the Seattle office of People For Puget Sound, and reports to the Deputy Director.

The ideal candidate is someone with prior office manager experience. He/she is pro-active, personable, flexible and detail-oriented, with strong communication skills.

Responsibilities:

Office Management

  • Develop & monitor office systems and calendars
    Office Management
  • Work with vendors; landlord, facilities, etc.
    Office Management
  • Process incoming and outgoing mail
    Office Management
  • Set up & maintain organizational filing systems with input of staff
    Office Management
  • Oversee equipment maintenance, repair and acquisition and their service contracts
    Office Management
  • Maintain & order office supplies
    Office Management
  • Answer phones (included in all staff responsibilities), respond to informational requests, and coordinate visitors
    Office Management
  • Oversee office upkeep, organize storage, ensure a pleasant environment
    Office Management
  • Manage any office moves, as needed

Donor Database Management
Office Management

  • Enter donations received into Salesforce database
    Office Management
  • Prepare daily bank deposits
    Office Management
  • Ensure contact details are updated as necessary, and new contacts entered accurately
    Office Management
  • Manage volunteer data entry crew
    Office Management
  • Prepare Thank You letters and Donation receipts as needed

Qualifications:

Required Skills & Experience

Office Management

  • Minimum 2 years relevant office administration experience
    Office Management
  • Excellent organizational skills with the ability to prioritize tasks and work under deadlines.
    Office Management
  • Advanced skills with pertinent Microsoft Office; strong technology skills in general
    Office Management
  • Knowledge of Salesforce database desired; some database experience required
    Office Management
  • Ability to make at least a two-year commitment to the position

  • Excellent written and verbal skills
    Office Management
  • Good time management, multi-tasking, detail-oriented, self-motivated, pro-active, and comfortable working in a small and collaborative team environment
    Office Management
  • Takes pleasure in enabling and supporting others to be effective in their work
    Office Management
  • Strong judgment and discretion in dealing with sensitive information
    Office Management
  • Some physical ability required based on event and office needs. Ability to lift up to 40 lbs.
